    1. Introduction

    The guidelines in this document are intended to help users set and apply themes to fields within templates. These themes, set in the Company tab of the Configuration portal, are meant to be applied prior to the configuration of a new tenant in order to increase productivity and efficiency of template creation. The json file needed to upload the record template theme can be found in Appendix B at the end of this document.

    2. General Information

    The basic guidelines for for the General Information section include: 

    • Maximum Field Width: 82 boxes
      • If two fields must be placed side-by-side, the total width must not exceed 82 boxes. 
    • Minimum Field Height: 3 boxes
      • Adjust based on the amount of content entered in the field, as well as the design properties. 
    • Field Margin - Left: 13 boxes
      • Additional margin values depend on the rules from Section 5 - Use Cases.

    2.2 Title, Subtitle, & Guideline Text

    Each record will contain one or more Title fields to identify segments of the record. A Subtitle and Guideline text may be used to create further segmentation or provide information about the record for the users.

    Use guideline text to describe what the user needs to do in a given section.

    2.2.3 Subtitle

    If a record has a section with many fields unrelated to each other, subtitles can be used to divide the fields into smaller subsections.


    For example, if you need to define conditions for two separate samples then a subtitle can be placed above each to create a subsection.

    2.2.4 Title + Subtitle

    A Title and Subtitle can be used to differentiate between subsegments of a section within a record.

    2.2.5 Title + Subtitle + Guidelines text

    Guideline text can be used beneath a subtitle to provide additional information to users about what they need to do within a particular subsegment of a record.

    3. Input field Types

    Input fields are used to capture data in the record and can be configured in a variety of ways. The information in this section outlines the best practice for each input field type to be configured when creating templates in the configuration portal. 

    Specific use cases can be found for field configuration in Section 5 - Use Cases.

    3.1 Label

    Labels can be used to inform users about different segments of a record, provide informational messages, or be used to create multiple fields with the same name. While other input field types require a unique name and identifier, the label has no identifier which allows for it to be duplicated.

    3.3 Non-Editable Fields without Header

    This label type can be used to inform users of the conversion of an entered value to another unit. For example, a value is converted from [g] to [kg], where the displayed kg value would be non-editable.

    These field types can be used for all input fields where the user or system must enter a string or number value.

    3.7 Rich Text

    A Rich Text field can be used to explain an action or if the content to be entered is greater than 255 characters. Some guidelines for the rich text field include:

    • Maximum width: 82 boxes
    • Minimum height: 4 boxes
      • Adjust the height of the field according to the amount of text to be entered.

    3.8 Yes/No

    A Yes/No field is used in the Approval record. It can be combined with additional field types that will only be shown based on the visibility conditions set during configuration. Some guidelines for the Yes/No field include:

    • Minimum Width: 20 boxes
      • Adjust the size of the field according to the text entered in the label.

    3.9 Checkbox + Label

    Checkboxes are used when a user needs to select one or more options from a displayed list of predefined alphanumeric or number fields. Some guidelines for the checkbox field include:

    • The margin-left of the alphanumeric or number field is 1 box.
      • Adjust the size of the field according to the text entered in the label.
    • The space between checkboxes, margin-bottom, is 1 box.
    • The last checkbox in any list has a margin-bottom of 2 boxes.

    3.10 Attachment

    The attachment field is used to attach external images or documents. Some guidelines for the attachment field include:

    • An Attachment field does not have a border
    • Recommended dimensions: 25 x 27 boxes

    3.11 Link

    This field is used if a user needs to apply a link to a website. Some guidelines for the link field include:

    • Adjust the size of the field according to the text of the url being entered.

    3.12 Image

    The image field type can be used to upload the logo of a tenant in order to create a header of a record. It can also be used to emphasize two or more segments within a record template. Be sure to adjust proportions based on the image.

    4. Visual Elements

    4.1 Information Field

    An information field (a non-editable alphanumeric field type) can be used to inform customers about what will happen if they take subsequent steps within a record. For example, an information field could be used to let a user know that the name of a record is generated by combining the name of two fields within the record. 

    Some guidelines for information fields include: 

    • The space between an information field and an input field is 1 box. 
    • The space between the information field and new content in a record is 2 boxes.

    4.2 Break Element

    Break elements (label field type) can be used to separate 2 or more segments of a record. Some guidelines for break elements include:

    • The height and margins above and below the element are always adjusted according to Section 2.2 - Title, Subtitle, and Guideline Text.
    • Maximum width: 82 boxes
      • This can be for a single break element or the combined total of many elements.

    5. Tables

    Basic tables in Alchemy consist of an ordered arrangement of rows and columns. The elements of a table may be grouped, segmented, or arranged in many different ways.

    5.1 User-Defined Tables

    User-defined tables are used when one or more users need to enter a set of values relevant to information in a table. Some guidelines for these tables include:

    • Header height: 3 boxes
    • Row height: 4 boxes
    • Field Colors
      • User-defined: White
      • Alchemy-defined: Gray
    • The table should be as narrow as possible while still displaying all relevant information.
    • The margin-bottom of a table (a Repeatable Row) is 2 boxes while the margin-left is 13 boxes.

    *The width of the repeatable row depends on structure of the fields inside the table

    If total fields are needed, there should be a space of 1 box between the fields and the last row of the table.

    If there are two tables in a segment within the record there should be a space of 3 boxes between the tables. Additionally, if the table is the last element on the record, the margin bottom should be 12 boxes.

    Tables may also have a column with a heading and subheading.

    If you have two tables that have a similar structure, make the columns the same width to provide visual consistency for the user.

    5.2 Table with Large Input Fields

    If you know that users will have a long input for a field within a table then increase the height of the row. Some guidelines for these tables include:

    • Header height: 3 boxes
    • Row height: 6 boxes
    • The table should be as narrow as possible while still displaying all relevant information.

    All design properties should match the scenario from Section 5.1: User-Defined Tables.

    5.3 Table with 2 Totals Sections

    Two totals sections should be used with your table if you need to present two independent values aggregate (Sum, Avg, etc.) from the values defined in the table above. Some guidelines for these tables include:

    • Header height: 3 boxes
    • The table should be as narrow as possible while still displaying all relevant information.
    • The space between table and total is 1 box.
    • The space between total rows is 1 box.
    • The margin-bottom of the second total row is 2 boxes.
      • Refer to Section 6 - Use Cases for additional information.

    All design properties should match the scenario from Section 5.1: User-Defined Tables.

    5.4 Processing Table

    Processing tables are used to define steps on how to make a product. Some guidelines for these tables include:

    • Header height: 3 boxes
    • Row height: 4 boxes

    Consider that when a user analyzes or fills out a table, they read a sentence as a combination of labels and input fields. Think about how to improve scalability and make the table more readable.

    5.5 Bound Tables

    The purpose of a bound table is to inform users about processes or their segments. Some guidelines for these tables include: 

    • Header height: 3 boxes
    • Row height: 4 boxes
    • Margin-bottom: 2 boxes
    • Margin-left: 13 boxes
    • The table should be as narrow as possible while still displaying all relevant information.

    5.6 Bound Tables With Totals

    The purpose of this table is to inform users about processes or their segments. Some guidelines for these tables include: 

    • Header height: 3 boxes
    • Row height: 4 boxes
    • The Total section beneath the bound table should follow the same design properties

    5.7 Non-Editable with Header and Subheader

    In this type of table users do not enter dates. The purpose of this table is to inform users about processes or their segments. 

    • Header & Subheader height: 3 boxes
      • Total height: 6 boxes
    • Row height: 4 boxes

    All design properties should match the scenario from Section 5.5 - Bound Tables.

    5.8 Tables with Row and Column Labels

    The table below has row and column labels. This can be a problem because according to our rule from Section 5.1: User-Defined Tables we will have different row heights for the header labels versus column header labels.

    If this style of table is necessary, some guidelines to follow include:

    • Keep it simple. Think about how to name column header, then label the rows with  non-editable alphanumeric fields.
      • You can also use label fields and define the properties to look like non-editable alphanumeric fields.

    6. Use Cases

    The following use cases are examples of how templates and their fields should be configured using Alchemy’s best practices.

    6.1 Reducing Clicks

    Scenario #1:

    In the Request record, a lab manager has defined all necessary tests and assigned them to chemists.

    In the Testing record, chemists need to click on the button placed within a table to create the test records.

    Things to consider:

    If you have a use case where you need to place a button in the table, then make sure it looks like a button and not just another data entry cell. 

    Is the button within the table necessary or could this action be achieved in other ways?

    Outcome:

    The button within the table is not functionally necessary. If the tests are defined in a previous record, then the test records should already have been created automatically through an expression in the Request record template. 

    If there is a scenario where the button serves a function as described then follow the guidelines to ensure the button stands out within the table:

    • Cells’ height and width are set according to the buttons’ proportions
      • Margin-top: 1 box
      • Margin-left: 2 boxes
      • Margin-right: 3 boxes

    6.2 Be Specific

    Scenario #2:

    A record displays a list of all possible checkboxes. Based on the Category and Product Type selected, the applicable checkboxes will be highlighted blue to indicate the selections.

    • Do not force users to search for relevant checkboxes in order to click what they need.
    • Show only the relevant selections in a single list using visibility conditions once the above choices have been made.

    6.3 Company Branded Templates

    To make a company branded template utilize field types like image, label, and alphanumeric. Some guidelines to follow include:

    • Margin between header and title fields: 6 boxes
    • Label Field Design Properties:
      • Alignment: Right
      • Text size: Normal
      • Height: Same as image field

    6.4 Duplicate Field Names

    Create duplicate field names using the following guidelines:

    • From the input fields, uncheck the option Show Field Name as Label.
    • Field height: 4 boxes
    • Create a label field above the input field with the desired text.

    6.5 Related Fields

    If you have more than two fields closely related to each other then you can place them side by side.

    6.6 Non-Editable Fields

    Non-editable fields can be used to auto-populate important information into fields based on the input of another field. 

    For example, a user chooses a Company and Contact from their database. This will trigger fields for Address, City, Zip Code, and Email to automatically fill.

    6.7 Non-Editable Fields without a Label

    Non-editable fields without a label can be used to show the conversion of temperature from C to F, or vice versa.

    For example, Time + Time Unit = Other Time (converted value)

    6.8 Predefined Fields

    To display a dropdown menu of 7 or more items, use an alphanumeric or number field. These field types are longer than others to show as many possible values selected from the drop-down.

    If only one option is able to be selected, create a list of predefined values and deselect Allow Multiple Values.

    6.9 Efficient Layouts

    Scenario #3:

    ‍Maximize the effectiveness of the record template by grouping related fields in sections.

    Things to consider:

    • Be concise. Reduce repetitiveness and keep field labels short, but informative.‍
    • Define clear segments. Related fields should be positioned in a manner that makes it clear what section label they belong to.

    6.10 Math Expressions

    Math expressions can be created as a combination of alphanumeric, number, and label field types. Some guidelines for creating math expressions include:

    • Space between fields and labels: 1 box

    6.11 Adding Units to Number Fields

    To define units for some numeric value, you need to create a number field and a predefined alphanumeric field side by side. 

    In the example below, note the unit field has a 2 box margin-left to the number field where the user will enter a value.

    6.12 Spacing between Elements

    The guidelines for this section refer to the spacing between a title field and any previous element on the template:

    • 6 boxes
      • The margin can be set in either field or a combination of both.

    6.13 Margin-Bottom

    The guidelines for this section refer to the spacing between a title field and any previous element on the template:

    • 6 boxes
      • The margin can be set in either field or a combination of both.

    6.13.1 Margin-Bottom: 2 Boxes

    Set the margin-bottom to 2 boxes if you have a group of fields unrelated to each other. This includes the use of tables, images, or checkboxes beneath an input field.

    If an alphanumeric or number field has visibility conditions under Checkboxes, then set a margin-bottom to 3 boxes to make space between the field and the next checkbox. Also, use a margin-left of 16 boxes to show the field affiliation.

    If an alphanumeric or number field is the last element in a record then set the margin-bottom to 12 boxes.

    6.14 Using Simple Groups

    If you have more than 3 input fields with the same properties (margin-left, visibility condition, etc.), create a simple group for your fields and set all properties at one time. Use the following guidelines:

    • Create all fields with the same visibility condition.
    • All fields should have a margin-left of 0 boxes.
    • Create a Repeatable Row.
      • Set visibility conditions and margins.
